Current Vacancies: Administrator & Marketing Officer
Gabrieli Consort & Players is looking to appoint a creative and versatile Administrator & Marketing Officer to be involved in a diverse and interesting range of tasks throughout the organisation. The successful candidate will not only help to oversee the running of our busy office, but also be involved in many aspects of concerts and touring. A significant portion of the job will be to manage our marketing, both online and in print, with the intention of increasing Gabrieli’s profile in the UK and abroad. All aspects of this role have the potential to be developed and adapted to the strengths of the applicant.
The job description falls into three main categories: office administration; assisting with concerts and touring and marketing.
Office administration
Responsibilities include:
- Co-ordinating the day-to-day running of the office, dealing with enquiries from the public and musicians, ordering stationery, filing invoices, providing basic IT support to other members of staff; liaising with the office’s IT consultants;
- Maintaining an accurate artists’ database;
- Answering the main phone line and other lines as needed;
Marketing
As the marketing officer, the post-holder is responsible for the ensemble’s ongoing marketing and must take the lead, in consultation with the General Manager and Chief Executive, to developing new initiatives to ensure that the ensemble maintains strong visibility in a highly competitive marketplace.
Responsibilities include:
- Overseeing and developing Gabrieli’s online and offline marketing strategy; - Making regular updates to the Gabrieli website with text, photography, audio and video, using a Content Management System;
- Analysing the accessibility of pages within the website, facilitating additional website development and improvements as agreed with the General Manager;
- Writing and producing regular email bulletins that are consistent with and represent the style and image of Gabrieli using MailChimp (an online html email marketing service), always seeking opportunities to increase the number of subscribers;
- Writing and editing strong, persuasive copy for a wide range of outlets, including newsletters/marketing brochures/publications/concert programmes, etc on a regular basis;
- Updating and monitoring the Gabrieli Facebook page and developing the online presence of the ensemble;
- Managing online CD sales through Gabrieli’s website, using PayPal, setting up payment processes for new recordings, monitoring stock levels and re-ordering CDs when necessary;
- Liaising with festivals and venues to promote Gabrieli concerts using viral marketing, reciprocal marketing campaigns and postal mailings; sharing ideas and resources effectively and efficiently to attract wider audiences;
- Collaborating with the Development Officer to encourage new supporters, especially through crowd fundraising campaigns;
- Collaborating all necessary publicity for Gabrieli projects and distributing materials, including biographies and photographs;
- Proof reading programmes notes, performers’ lists and other texts for concerts in the UK and abroad;
- Collating press clippings and reviews from Gabrieli concerts, recordings, interviews and magazine features;
- Regularly updating Gabrieli’s biography and Electronic Press Kit;
- Compiling and typesetting all necessary materials needed to produce Gabrieli’s own-promotion programme booklets using InDesign;
- Collaborating with Gabrieli’s graphic designers to produce print, flyers and advertisements.
Concerts and Tours
Assisting the General Manager on all aspects of concerts and touring, responsibilities include:
- Organising and over-seeing the smooth running of rehearsals, including booking rehearsal venues and other external service providers as needed;
- Producing stage plans in consultation with the Artistic Director and General Manager;
- Maintaining the Gabrieli music library, including sourcing material, issuing music to players as requested prior to concerts; checking music on return after concerts; marking-up parts where necessary;
- Assisting on all aspects of our own-promotion concerts, including contacting and briefing stewards, organising catering, hiring equipment, setting up the box office and purchasing CDs for sale at concerts;
- Helping to produce and distribute rehearsal and tour schedules, in consultation with the General Manager and the Artistic Director;
- Distributing artists’ pay schedules and statements, in addition to calculating and distributing subsistence;
- Making arrangements for concerts and tours under the direction of the General Manager, including liaising with agents, hotels and travel agents in order to secure travel and accommodation for the group and soloists in the UK and abroad;
- Assisting on all other aspects of concerts and touring, as requested by the General Manager.
Other general duties include:
- Attending concerts and events where necessary;
- Undertaking any other administrative duties as required by the General Manager and Artistic Director.
Person specification:
We require a bright, articulate and motivated individual who is capable of working unsupervised and of taking responsibility at a high level.
The individual should be capable of working on his/her own initiative, should be able to prioritise efficiently and work to an extremely high standard under the pressure of tight deadlines. The ability to multi-task is essential.
A calm, well-organised demeanour and excellent interpersonal and communication skills are required. A sense of humour is an essential attribute.
The successful candidate will have superb administration skills, with a meticulous attention to detail, both literate and numerate. They will be computer literate, with experience of using a Content Management System and a basic working knowledge of HTML, and willing to learn how to use necessary applications and systems.
The ability to read music is essential. Knowledge of the classical music scene is desirable as well as enthusiasm for, and some knowledge of, the repertoire of the ensemble.
Terms:
Starting salary of £16,000.
Normal office hours are 09.00-18.00 Monday-Friday. You will be required to work some evenings and weekends, for which time off in lieu will be given.
Holiday entitlement is 4 weeks (20 working days).
